For most transport and distribution businesses, the delivery is not finished when the goods are offloaded. It is finished when the signed proof of delivery is back in the office and the invoice can go out. With paper PODs, that can take days, and a lost delivery note can hold up payment for weeks.
Digital proof of delivery closes that gap. Here is what it involves and what to look for in South African conditions.
The cost of paper proof of delivery
Paper PODs create the same problems in almost every fleet:
- Signed notes travel back in the cab and get lost or damaged
- Invoicing waits until the paperwork reaches the office
- Customers dispute deliveries, and there is no photo or timestamp to settle it
- Trip sheets are captured twice, once by the driver and again in the office
- Management only hears about a failed delivery when the customer calls
What digital proof of delivery captures
A digital POD replaces the paper note with a record on the driver's phone or tablet. At the point of delivery it should capture:
- The recipient's name and signature
- Photos of the goods, the delivery point or any damage
- The date and time, recorded automatically
- Quantities delivered, and any exceptions such as short or refused items
As soon as the delivery is signed, dispatch, finance and the customer can be notified. Invoicing no longer waits for paper.
Built for South African conditions
Two things matter more here than in many other markets.
Load shedding and poor signal. Drivers lose signal on rural routes and in some depots, and power cuts take down towers. The app must keep working offline, store the records on the device, and sync automatically once a connection returns. A POD solution that needs constant connectivity will fail on exactly the routes where you need it most.
Cross border deliveries. For SADC routes, each border crossing needs its own documents and checkpoints. Building these into the trip workflow means every crossing has a complete record.
Beyond the delivery note
Once drivers carry a device, the same workflow can replace other paper:
- Digital trip sheets. Kilometres, fuel and stops captured once, at the source.
- Pre trip vehicle inspections. Checklists with photos, so defects reach the workshop the same day.
- Exception reporting. Late, failed or damaged deliveries flagged to management as they happen.
- A live dashboard. Vehicles, trips, deliveries and exceptions across depots in one view.
Will it replace our tracking system?
No. Vehicle tracking tells you where a truck is. A proof of delivery workflow handles the paperwork and decisions around each trip. The two work side by side, and tracking data can be brought into the same dashboard.
Protecting driver and customer information
Delivery records contain personal information: recipient names, signatures, sometimes ID numbers. Access should be role based, and every view and change should be logged in an audit trail, so you can show how you meet your POPIA obligations.
How BCMFlow does it
BCMFlow, built on the DocMGT platform, gives drivers, dispatch and management one connected system for trip sheets, vehicle inspections, delivery tracking and signed proof of delivery. Capture works through load shedding and poor signal, and records sync when the device reconnects. It goes live in weeks, not months.
