Proof of Delivery Software: Stop Losing Days of Cash Flow

Your truck delivered on Monday. Your invoice goes out on Thursday, because that is when the signed delivery notes finally reached the office.

If that sounds familiar, paper proof of delivery is quietly financing your customers at your expense.

The problem today: the delivery is done; the cash is not.

For a transport or distribution business, a delivery only turns into revenue once the signed POD is back and the invoice is out. Paper slows every step in between.

The signed note rides back in the cab. It waits in a tray at the depot until someone collects the batch. Then someone in the office checks it, captures it and matches it to the order before billing can start. Every day in that chain your invoice delays, and the customer's payment terms only start counting once it arrives.

The cost shows up in three places:

    • Cash flow. Invoices go out days after the delivery, so payment arrives days later too.
    • Disputes. A smudged signature or a missing note gives the customer a reason to query, and a queried invoice does not get paid.
    • Audit risk. When a POD goes missing, you cannot prove the delivery happened, which leaves you exposed in a claim or at year end.

Leadership rarely sees this as one problem. Finance sees slow collections, operations see paperwork and the customer sees a late invoice. The same paper trail causes all three.

How to fix it: six practical steps

You can start on most of these this month, with or without new software.

    1. Measure your POD lag

Take a sample of last month's deliveries and compare each delivery date with its invoice date. The gap is your POD lag. Multiply your average daily delivered value by that lag, and you have a rough view of how much cash sits in transit as paper.

    1. Find where the paper waits

Trace a handful of PODs from the customer's dock to the invoice. Most delays sit in one or two places: the cab, the depot tray or the capture queue. Fix the longest wait first.

    1. Define what complete POD contains

Agree on a standard for every delivery: recipient name, signature, date and time, quantities delivered and any short or refused items. An incomplete POD is where most disputes start.

    1. Capture at the point of delivery

The fastest way to take the cab and the tray out of the process is to capture the POD on the driver's phone at the customer. Add photos of the goods and the delivery point, so you settle a query with evidence rather than memory.

    1. Plan for no signal

Rural routes, some depots and load shedding all mean drivers will lose connection. A digital POD must store records on the device and sync once the connection returns. If it needs constant signal, it will fail on the routes where you need it most.

    1. Link the signed POD to billing

Capturing the POD digitally only helps cash flow if finance knows about it immediately. Set the rule that a signed delivery triggers the invoice step, so billing never waits for someone to hand over paperwork.

What it looks like in BCMFlow

BCMFlow, built on the DocMGT platform, gives drivers, dispatch, finance and management one connected system for every delivery.

    • At the customer: the driver captures the recipient's signature, photos, time and any exceptions on a phone.
    • Without signal: records save on the device and sync automatically once they reconnect.
    • The moment it is signed: dispatch, billing and the customer can be notified, and the signed delivery can trigger the invoice step.
    • For management: a live dashboard of vehicles, trips, deliveries and exceptions across depots.

Every action is recorded in an audit trail with role-based access, so your delivery records stay audit ready and POPIA aware. BCMFlow works alongside your vehicle tracking provider rather than replacing it.

Proof: live fleet visibility for a South African logistics company

BCM Transform built a fleet operations dashboard for a South African logistics company that gives management live visibility of vehicles, trips and exceptions.

Proof of delivery follows the same principle. When every delivery is a live record instead of a piece of paper, you can see what is signed, what is outstanding and what is ready to invoice, on the same day.

Map your delivery to cash process.

If your invoices still wait for paper to come back, start by mapping the process from dispatch to invoice. We will show you where the days go and what a connected POD workflow could look like on your routes.

Use the Map to my process box on our Transport and Logistics page, or book a free 30-minute consultation. Live in weeks, not months, with your timeline agreed in writing after a free discovery session.
